We're seeking a Facilities Coordinator who will be responsible for coordinating the day to day Facilities operations and various employee-facing events and initiatives that make HubSpot one of the best places to work in Cambridge, MA.

The successful candidate will work very closely with our Facilities team including the Cambridge Operations Manager, IT Team and Management Teams. You will be responsible for ensuring that the office is fully operational, meeting rooms are set up as requested by internal teams and that you are on hand to execute in an exciting, fast paced, ever changing environment where no two days are ever the same.

Here’s what you’ll be doing:

  • Coordinate the day to day Facilities operations within our 1pm-9pm Facilities shift - stocking and cleaning coffee machines, ensuring vending machines are stocked and maintain inventory levels.
  • Proactively working on assigned duties through our ticketing system, including moves, set-ups, breakdowns, HVAC issues, repairs etc.
  • Provide support to Facilities department Manager and Sr. Director.
  • Ensures meeting rooms are maintained to a high standard, including markerboards, furniture and equipment are maintained and cleaned.
  • Assisting in the planning and execution of operational FM activities.
  • Provides support with the running of company events in conjunction with key stakeholders.
  • Coordinate daily with vendors that provide daily support regarding maintenance or delivery of products.
  • Other ad-hoc Facilities requests

Requirements

  • Local building, fire and safety basic knowledge is a plus.
  • Excellent customer service skills, always willing to help when help is needed.
  • Excellent communication skills, both verbal and written
  • Eagerness to learn and grow, including the capacity to take on tasks not part of our daily scheduled routine.
  • Self-starter, fast learner and always looking for what seems out of place
  • Motivated to learn and grow your career through internal mentorship.
  • Ability to lift up to 50 lbs

Experience & Qualifications

  • Relevant experience is preferred
  • Health and safety certifications basic knowledge is a plus
  • Basic computer skills including ability to work with MS Office and Google Docs
  • Basic experience in the construction industry is a plus
