Our Go To Market team is searching for a motivated and action-oriented Executive Assistant. You'll partner closely with our President to make his time more efficient and productive while supporting the GTM leadership team on a wide variety of cross-functional projects and initiatives. You should be self-directed, autonomous, and capable of managing a varied workload from multiple inputs, and able to prioritize the day to day against the bigger picture. This person will need to be an excellent problem solver, ultra-organized, and be comfortable exercising judgment to prioritize calendars, meetings, and projects in a high growth environment.


Note: as this role will support an exec in the Boston area, we will prioritize candidates who are in the area and who are open to potentially being in the Boston office 1-2 days a week at first, in order to build rapport.

What you’ll do as an Executive Assistant & GTM Strategic Partner at Notarize:

  • Be a strategic, trusted partner to the President. Be the eyes and ears of Go-To-Market team health. Provide guidance and recommendations across business, culture, team and organizational situations.
  • Be a trusted advisor to the team. Help facilitate action and communication where and when necessary.
  • Act as a gatekeeper to ensure the President's time is spent on the highest priority issues.
  • Prepare and edit presentations, spreadsheets, communications, and other documents including board reports.
  • Communicate on behalf of the GTM team to clients, investors, partners, board members, and team managers.
  • Research and provide the President with materials needed for meetings.
  • Perform high-volume calendaring, travel planning, expense management, coordinating internal and external meetings for multiple executives on the Go To Market team.
  • Compose correspondence on behalf of the President to be shared internally and externally.
  • Build cross-functional relationships between departments.
  • Lead and/or project manage key initiatives and strategic projects across the org.
  • Facilitate and drive weekly GTM strategic meetings.
  • Develop agendas and materials for team meetings; track next steps and follow-ups to completion.

What we’re looking for:

  • 5+ years of experience supporting C-Level executives in a fast paced, innovative environment.
  • Superior oral and written communication skills, with the ability to communicate clearly and effectively with senior leaders, and external partners
  • Demonstrated organizational skills, with a passion for creating organizational process
  • Bias towards action & problem solving - doesn’t wait to be directed
  • Ability to keep pace and partner with a busy executive to ensure they are abreast of projects, upcoming commitments and responsibilities, following up appropriately with minimal interaction to respect their time.
  • Background in managing multiple teams across multiple geographic locations and time zones, in a remote working environment a plus.
