Executive Assistant
Position Overview
The Executive Assistant will support our CRO and CMO with some additional marketing department responsibilities. We are looking for a talented individual, based in the Boston, MA area to work in our office in a hybrid capacity with 3 days of our choice in the office. This individual must be incredibly detail-oriented, have the ability to multitask, and remain organized. The work related to this role is of a highly confidential nature, requiring precision and care in regard to detail and follow-up. The successful candidate will need to exercise initiative, judgment, and knowledge of the Company's practices, policies, and organization. Our ideal candidate is a personable, direct communicator who demonstrates a high level of customer service, energy, and professionalism with the ability to manage multiple projects and deadlines.
Responsibilities:
- Handle details of a critical and highly confidential nature.
- Independently coordinate and schedule their time including meetings, interviews, travel (domestic and international), and accommodations
- Collect, review and submit all expenses for each of your executives
- Provide assistance, with writing and editing emails, drafting memos, and preparing communications on the executive's behalf
- Assist in the preparation of presentations and all related materials required for formal presentations to the Executive Team or company-wide audience.
- Research and analyze data to support any projects, events, and initiatives that these executives are sponsoring.
- Assist in organizing team meetings and outings inclusive of catering events and restaurant reservations
- Assist with day of events, catering execution, table set up configuration, and working with IT for IT details required
- Ability to troubleshoot and react to any last-minute changes, technical issues, and requests
- Perform other assigned duties
- Greet visitors and notify the employee of their arrival
- Coordinate with other EAs to help set up their catered events and break them down
- Serve as backup for other EAs in case they are out of the office or on vacation
- Collaborate with marketing and finance to manage purchase order requests and approve invoices
- Be able to take on additional projects as needed and see them through to completion
Required Skills and Experience:
- Bachelor’s Degree required.
- 2-4 years of executive assistant experience
- Event experience preferred, but not required
- Experience assisting C-level executives in a fast-paced, technology and sales-driven environment.
- Excellent communication, problem-solving, and writing skills.
- Ability and willingness to proactively take on new responsibilities.
- Ability and willingness to quickly adjust plans, schedules, and agendas to meet rapidly changing needs and priorities.
- Ability to act independently to determine priority, methods, and procedures on new assignments.
- Ability to communicate effectively
