Executive Assistants at HubSpot enable the success of our teams through organization, coordination and administrative support. In this role, you will be responsible for a wide variety of administrative duties in support of the Chief Financial Officer.

Responsibilities include but are not limited to creating presentations, documents and other materials, calendar and meeting management, arranging domestic and international travel, event planning and general administrative support. The Executive Assistant is also required to maintain confidentiality and interact professionally with employees, management, members of the Board of Directors, customers, partners and investors.

Responsibilities:

  • Quarterback organizational efforts across global locations, including planning monthly meetings for leaders and quarterly meetings for the broader global team
  • Facilitate broader team connectivity through event management: coordinate and execute logistics, research and select venues as needed, manage external vendors.
  • Manage scheduling, logistics and expenses, including booking domestic and international travel and external speaking engagements
  • Process expenses
  • Manage relationships with a variety of external vendors for team needs
  • Lead and collaborate on special projects, including team-building initiatives, employee recognition programs, team swag, etc.
  • Collaborate with broader network of HubSpot Executive Assistants and Coordinators on cross-team backup support and broader company initiatives
  • Support the smooth onboarding of new employees through collaboration with HubSpot’s IT, Facilities and other global teams

We are looking for someone with:

  • Proven track record of success providing administrative support, preferably with experience supporting Investor Relations
  • Remarkable drive and a passion for achieving success in a high-growth environment
  • Ability to effectively prioritize and manage the needs of multiple stakeholders
  • Exceptional written and oral communication skills, capable of confidential interactions with employees at all levels of HubSpot, including executives, as well as guests and external contacts
  • Comfortable with ever-changing technology and proficiency in Microsoft Office Suite and/or Google Apps
  • The ability to deal with ambiguity and prioritize tasks in response to unexpected changes in priorities/requests
  • The ability to take a proactive approach to tasks and be comfortable working with minimal instruction and guidance
  • A passion for HubSpot’s commitment to our culture

Education:

  • BA or BS degree preferred
