edX seeks an Executive Assistant to the CEO. This role represents a highly visible, unique opportunity to learn from and partner with an industry pioneer. 

Your Impact

Whomever fills this role will serve as a gatekeeper, draft executive communications, convene meetings, manage scheduling, and otherwise support edX CEO Anant Agarwal. He’s a serial entrepreneur, an award-winning MIT professor, and a former guest on The Colbert Report (seriously!). His work was selected by Scientific American as one of 10 World-Changing Ideas in 2011, and he was listed among the Forbes top 15 education innovators in 2012. Furthermore, he earned the Harold W. McGraw, Jr. Prize for Higher Education in 2016 and the Padma Shri Award in 2017 (given by the President of India).

Please note that once it's safe to do so, this position requires a hybrid work arrangement; whomever fills it will work three days per week in Cambridge, MA and two days remotely. Certain weeks may require additional days onsite. 

You Will

  • Monitor the flow of multi-platform communications to and from the Office of the CEO.
  • Manage and prioritize emails, responding on the CEO’s behalf as appropriate.
  • Support the CEO a broad range of administrative issues, often sensitive or confidential in nature. Discretion required.
  • Aid in and ultimately ensure the timely completion of ad hoc projects. Lead and implement various strategic planning processes across the organization.  
  • Partner with the CEO to create, modify, and quality-check his presentations. PowerPoint proficiency required, and copy editing experience preferred. 
  • Perform end-to-end (sometimes complex) meeting management -- including Board and large partner meetings. You will negotiate schedules across different time zones among multiple high-level leaders, utilizing myriad video and telephone conferencing technologies (e.g., Skype, Google Hangouts, Zoom, and/or international dial-ins).
  • Own agenda-related communications and understand meeting objectives, provide leadership members with important prep information, and share necessary follow-up details. 
  • Identify and secure meeting locations, finalize logistics, and ensure appropriate technology capabilities.
  • Coordinate travel arrangements for both domestic and international business travel, including but not limited to booking flights and hotels, arranging local transportation, generating itineraries, and confirming passport / visa requirements. 
  • Prepare and submit expense reports (which often include complex international travel transactions).
  • Receive external guests, international visitors, and other important partners at our Cambridge, MA-based HQ. 
  • Provide “off hours” availability to facilitate communication with international affiliates.

You Have

  • 5+ years of experience as an Executive Assistant and/or a Chief of Staff
  • Superior verbal, written, and analytical skills
  • Proven organizational prowess and the ability to manage multiple competing priorities and projects with an unparalleled attention to detail
  • Experience booking and managing international travel (including multi-country journeys) 
  • Proficiency with Gmail, other Google Apps for Business, webinar tools (Zoom, Google Hangouts, Skype), PowerPoint, and Concur
  • Proficiency with PCs and familiarity with Macs
