Are you detail-oriented, driven, efficient, reliable, and organized? As the Executive Assistant to Steph Speirs, our CEO and co-founder, you will play a critical role in helping her be more effective by being the calm, capable coordinator of the many moving pieces required for her to lead our fast-paced team. This critical role will ensure Solstice’s success by building and implementing systems for seamless scheduling, logistics management, and administrative tasks. Working with Steph, you will assist Solstice in driving our mission forward as we grow and change. You will be the grease that keeps the wheels turning, ensuring there are no loose ends, no pieces falling through the cracks, and no improvements left unmade. The right candidate is a “people person” who cares deeply about maintaining a collaborative company culture and achieving superior performance, and who possesses extraordinary attention to detail and thrives when wearing multiple hats. You’ll work directly with our co-founders and gain an intimate understanding of what it takes to run a startup, while interacting with every team in the organization to handle exciting initiatives that improve our culture and workplace. 

Responsibilities:

  • Assist CEO in task management and follow-up, including updating CRM databases, conducting research projects, tracking deliverables, and taking notes
  • Prepare letters, presentations, agendas, and reports for the CEO
  • Coordinate written correspondence to high-level external partners including funders, solar developers, financiers
  • Organize meetings and travel arrangements for both the CEO and COO
  • Maintain positive cultural norms for the organization
  • Keep Solstice’s sunny office running efficiently and smoothly by ordering supplies, liaising with external vendors, receiving mail, answering the phone, and greeting guests
  • Organize event logistics, as necessary
  • Be a team player who’s always quick to help the team with any ad hoc responsibilities 

Qualifications:

  • A self-starter with exceptional judgment who aims to make an impact each and every day
  • Superior written communication skills 
  • Extremely organized, hyper-responsive to inquiries, excellent at meeting deadlines
  • Prior experience as an assistant or in scheduling and/or event planning preferred; minimum requirement is demonstrated ability to manage complex logistics
  • Maturity to exercise discernment and privacy around confidential information
  • Gregarious and personable; self-described people person who enjoys interacting with others
  • Proactive, with an ability to prioritize effectively and autonomously with scarce resources and little supervision
  • A problem solver; equally excited about the opportunity to solve small problems and big problems as long as they serve a larger mission 
  • Enthusiastic, positive, and team-oriented; always willing to lend a hand to a team member
  • Excited to work in a fast-paced, growing startup environment
  • Comfortable wearing many hats across every workstream in the organization
  • Driven, gritty, and resilient; demonstrated ability to persevere through unanticipated challenges

As An Executive Assistant, You Will Gain:

Title: Executive Assistant to the CEO

Compensation: $40,000

Location: Cambridge, MA
