Everbridge is looking to add an Administrative Assistant who will aide and support our team of Executives. Reporting to our Senior Executive Administrative Assistant, this position involves managing administrative support duties, maintaining and managing complex schedules and travel planning, as well as adhering to crucial deadlines. The ideal candidate for this job is highly organized, resourceful, flexible with excellent communication skills, and the ability to drive multiple tasks through to completion within a timely manner. The role requires 2 or more years of experience in an administrative support function.

What you'll do:

  • Complete a broad variety of activities supporting three Executives managing all aspects of active calendars; completing expense reports; arranging complex and detailed travel plans (domestic and international), itineraries, and agendas; and compiling documents for meetings.
  • Comfortable communicating on the phone, instant messenger, email and intranet
  • Plan, coordinate and ensure schedules are followed.
  • Perform end-to-end meeting management involving both basic and complex scheduling; conferencing technology; agenda communication; room and technology setup; location logistics management; catering; and note-taking and follow up.
  • Exercise sound judgment and discretion regarding confidential issues and materials in responding to mail, telephone, electronic, and in-person inquiries.

What you'll bring:

  • 2+ years of experience as an Administrative Assistant to a VP level with progressive administrative responsibilities and experience
  • Bachelor's degree
  • Superior organization skills and dedication to completing projects in a timely manner
  • Proficiency in Microsoft Office suite and expense reporting software, such as Expensify
  • Comfortable interacting with senior level executives and other staff within and outside of the company with a great deal of tact and diplomacy.
  • Detail-oriented and comfortable working in a fast-paced office environment.
  • Highly organized, able to work independently, and perform well under stress.
  • Maintain confidentiality and exercise judgment and discretion in the performance of all functions and responsibilities.
