About the job:

NewStore is looking for an Executive and Human Resources (People) Team Assistant.  The primary responsibility for this position is to support our CEO and other executives, but will also assist the Chief People Officer with Human Resources tasks and other general company administrative tasks as needed.

  • Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the CEO and other executive's behalf
  • Organizing meetings (individual, group, Town Hall, Board of Directors, etc) including scheduling, sending reminders, greeting visitors and organizing catering when necessary
  • Answering incoming emails and phone calls in a polite and professional manner and accurately responding as needed
  • Managing the CEO and other executive's day-to-day calendar, including scheduling meetings and prioritizing the most sensitive matters
  • Utilizing TripActions, coordinating travel arrangements (both domestic and international), and create trip itineraries
  • Onboarding new employees including scheduling onboarding meetings, employee benefits administration, and other similar tasks
  • Coordinating and scheduling interviews for potential candidates
  • Prepare meeting briefs, presentations, and/or special projects
  • Update Salesforce with relevant meeting information and notes
  • Prepare expense reports and track corporate credit card expenses
  • Opening, sorting and distributing incoming mail
  • Facilitate conference registration and itinerary management for CEO and other executives
  • Assist with the CEO’s U.S. personal property, as requested

Required Skills:

  • Time management and ability to meet deadlines
  • 2-3 years of administrative or Human Resources assistant experience
  • Excellent verbal and written communication skills
  • Strong organizational skills and ability to multitask  
  • Problem-solving and decision making skills
  • Ability to act as gatekeeper and escalate relevant information to executives as needed
  • Ability to work effectively with minimal supervision
  • Strong interpersonal skills
  • Ability to treat confidential information with appropriate discretion
  • Exceptional attention to detail
  • Familiarity with Google Suite and Microsoft Office Suite
