Job Title: Scheduling Coordinator
Job Summary:
Magna Legal Services is seeking a reliable, detail-oriented, and highly organized Scheduling Coordinator to join our dynamic legal support services team. The ideal candidate will have strong administrative skills and a keen ability to manage multiple tasks in a fast-paced environment. As a Scheduling Coordinator, you will be the first point of contact for clients and responsible for coordinating legal proceedings and providing administrative support. Answering phone calls, emails, maintaining accurate records, and handling various client-focused tasks.
Key Responsibilities:
Scheduling Management:
- Manage and maintain the scheduling of court reporters, legal videographers, and interpreting services for clients and attorneys.
- Ensure all scheduling is accurately reflected in the company’s calendar system.
- Keep detailed records of client interactions and scheduling updates in the company database.
- Resolve any scheduling conflicts, ensuring that timelines and team protocols are adhered to.
Administrative Support:
- Handle incoming and outgoing communications (phone calls, emails) in a professional and timely manner.
- Assist with data entry tasks, including client information, case updates, and meeting details.
- Always maintain confidentiality and professionalism of sensitive client and legal information.
Qualifications:
- Strong organizational, problem-solving and time-management skills with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Ability to maintain flexibility and adaptability to changing priorities and protocols
- Attention to detail and the ability to handle multiple tasks simultaneously.
- Ability to work independently and as part of a team.
- High school diploma or equivalent (required).
- 1-2 years of administrative or office experience, ideally in a legal or client-facing setting.
- Proficiency in Microsoft Office is preferred.
Compensation: USD $50,000 - $55,000 per year.
An employee’s pay position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, travel requirements, revenue-based metrics, any contractual agreements, and business or organizational needs. The range listed is just one component of the total compensation package for employees.
