As a Project Coordinator within our Outsourced Accounting Services Team, you will play a critical role in ensuring a seamless client experience from onboarding through ongoing service delivery. You’ll oversee the operational and administrative components of client engagements, including project kickoff, task assignments, deliverable tracking, and coordination with internal teams. This role serves as the central hub for communication and accountability across the project lifecycle, working closely with the Practice Area Leader to align operations with strategic goals.
This role needs a combination of organizational excellence, clear communication, multitasking ability, and business acumen to deliver value to our clients and contribute to the growth and success of our consulting practice.

What you’ll do at SN:
Client & Internal Team Engagement
- Lead the onboarding process for new clients, ensuring documentation, setup, and communication are timely and accurate
- Facilitate project kickoff meetings, aligning all stakeholders on scope, timeline, and responsibilities
Project Oversight & Coordination
- Maintain oversight of project timelines, deliverables, and team assignments
- Coordinate internal task distribution based on capacity and expertise
- Proactively resolve scheduling or workflow conflicts
Team Communication & Support
- Serve as the liaison between client teams and internal staff to ensure expectations are understood and met
- Provide regular updates to stakeholders and escalate risks as needed
Administrative Coordination
- Partner with the Practice Area Leader to manage prospect documentation, fee agreements, and project setup
- Ensure all records are organized and compliant with internal standards
Process Improvement & Documentation
- Identify workflow improvement opportunities
- Maintain internal process documentation
- Capture and maintain client meeting notes and workflow processes using SN-defined tools and standards
What it takes to be a Project Coordinator:
- Experience: 5+ years in project coordination or operations; background in accounting or professional services preferred
- Industry Knowledge: Experience in the AEC industry preferred; understanding of consultant management, billing, and job costing
- Technical Skills:
- 3+ years in project coordination, client service, or operations
- Skilled in Microsoft Office Suite (Excel, Word, Outlook, Teams)
- Comfortable with ERP systems and learning new technologies
- Familiar with project management tools (ClickUp, OneNote, or similar)
- Stage 1 (Preliminary Screening Call) with a member of our recruitment team
- Stage 2 (Hiring Manager Interview) with the leader of OAS Ajera Team
- Stage 3 (Behavioral Interviews) with a member of our HR team and several members of the OAS team

Salary: The salary range for this position is an estimate of $60,000 - $70,000. A final compensation offer within this range will be based on factors including an individual’s skill sets, experience, knowledge, licensure and certifications, and geography.
