As the Office Manager, your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.  We host customers, partners and board members frequently, and you will be responsible for the guest experience, arranging the space, and providing support as needed. 

We’re a start up, so there’s no shortage of ways to pitch in and elevate the employee, candidate and visitor experience at Markforged.  We’re looking for someone who truly enjoys helping people, organizing events and spaces, and getting things done.

What will you own?

  • Manages the day-to-day office operations for the sites (including maintenance of front and common areas, inventory of supplies, food orders including negotiation of rates, greet guests and visitors virtually/live/audio, guard access to building and office key cards, maintaining office equipment, manage onsite cleaners/vendors, resolving other building maintenance issues as they arise).  This will be the responsibility for all office management activities in both our Watertown offices - HQ at 480 Pleasant St. and Engineering office at 85 School St.
  • Assists and drives implementation of EHS projects at HQ and Engineering offices.
  • Manages the onboarding process on Day 1; greeting new hires, making badges, getting them set up in the room to start their sessions, walking them through the offices and dropping them off to their managers (after onboarding has concluded).
  • Assists in space planning, layout management, and vendor management as we expand office space.
  • Oversees the event management and meeting activities for the site, including logistics, set up, working with management and vendors, and resolving issues as they arise.
  • Responsible for all employees, customers, etc that come into the office having the best possible experience while on-site.
  • Answers main phone lines, greet guests and visitors, and handles mail, FedEx, and UPS deliveries
  • Responsible for day-to-day operations of the facility, such as managing building office key cards and resolving any building issues (lights, plumbing, security, etc.)
  • Negotiates the best rates and orders office food and supplies so that we are always fully stocked.
  • Supervises the maintenance of office equipment, including copier, printer, etc, coordinates with finance (and eventually IT) on all office equipment
  • Participates as needed in special department projects

What you have:

  • An associate’s degree holder (or higher) or possess equivalent experience.
  • 3+ years of experience in office management or similar.
  • An excellent written and verbal communicator: you convey information to internal and external stakeholders in an organized and easily parsable manner through emails, phone calls, and in-person meetings
  • Organized: you can juggle and make progress on multiple initiatives simultaneously.
  • Self-sufficient and whip-smart: you get things done, learn what you don't know, and can make data-driven decisions independently, as circumstances require.
  • Willing and able to work in-person at the office daily, with social distancing & mask guidelines in place.
  • We use Apple computers and Google collaboration tools. While experience with these tools is not required, the ideal candidate will be excited to broaden their knowledge and embrace change.
