CrunchTime! Information Systems, a leading enterprise solution provider to the hospitality industry, is looking for an Office Manager to join our team. We are looking for a highly organized, detailed, motivated, and ambitious individual who is looking for an opportunity to join a rapidly expanding software company that is dedicated to being an industry leader. The Office Manager should be able to ensure a smooth running of the office and help to improve our day-to-day operation. This role will report directly to the VP of Finance & Accounting.

Responsibilities:

  • Perform an array of administrative and office management tasks (manage calendars, book travel, schedule interviews and manage facilities)
  • Work with the CEO to coordinate communications, agenda planning, logistics, and follow up on action items, as needed on a daily basis
  • Schedule and coordinate candidate interviews to ensure a positive candidate experience
  • Assist in the onboarding process for new hires (schedule day 1 orientation, office tour, prepare “swag bags”, etc.)
  • Responsible for daily office operations and arranging necessary repairs with facility management
  • Provide general support to visitors and enhance the overall visitor experience
  • Order weekly lunches, coffee, and other general office supplies
  • Assist with the planning of in-house or off-site activities, parties, celebrations and conferences
  • Perform light accounting functions including billing, collections, payables, etc.

Requirements:

  • Bachelor’s degree preferred; prior experience in office administration required
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Maintains confidentiality in all dealings and in the handling of sensitive data 
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Familiarity with email scheduling tools (for example: Outlook, Greenhouse)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • Willingness to work hard and take direction and also anticipate problems and their solutions without explicit guidance
  • A creative mind with an ability to suggest improvements
