Office Coordinator

As an Office Coordinator, you’ll be the face of Forward Financing, supporting our culture and core values. This is a terrific opportunity for someone who has previously served in a receptionist or front desk capacity and wants to translate those skills to a growing company! On a day-to-day basis you’ll be the welcoming presence of Forward Financing, owning all day-to-day office management tasks and supporting and working on various other projects to ensure our company is a great place to work and visit.
In this role you will:
- Provide front desk coverage; greeting all employees and guests as they enter the office
- Maintain office supply inventory within the established budget. Check stock to determine inventory level, anticipate supplies needed and place orders. Order weekly groceries within the established budget
- Own organization and celebration of key employee milestones, including Birthdays and Anniversaries
- Support our Talent Team by coordinating interview scheduling for potential candidates
- Ensure office cleanliness is maintained in common spaces and kitchen
- Ensure conference rooms are set up and ready each morning and throughout the day
- Prepare meeting/event spaces (i.e. additional seating, technology, food)
- Coordinate restaurant reservations and lunch orders as needed
- Manage mail including preparation of FedEx labels and other miscellaneous shipping
- Serve as the point of contact for building management and other vendors
- Provide administrative support to Executives (printing, mailing, reservations, etc.)
- Assist with ad hoc projects as needed

- Minimum of 2 years experience as a receptionist/front desk role or in an administrative capacity, ideally in a corporate office setting or similarly fast-paced environment
- Excellent verbal and written communication skills. Able to work with discretion and sensitivity across all levels of the business.
- Available to work in the office in Downtown Boston five days per week, Monday through Friday
- Experience balancing multiple priorities and willingness to do a variety of tasks
- Solution-oriented with the ability to build relationships across the company with a team of diverse styles, skill sets, and experience levels
