Front Office Administrator (Part-time)
As a Front Office Administrator, you will be part of the growing Vestmark Facilities team and perform a wide range of administrative related duties. This is a part-time, 20-hour per week Monday-Friday 10:00 a.m. to 2:00 p.m. position.
Front Office Duties:
- Greet clients, visitors, vendors, accept packages, shipments, answer phone
- Main point of contact for all employee requests, issues, concerns
- Handle daily incoming/outgoing shipments and separate mail
- Maintain cleanliness of front desk and designated conference rooms
- Order catering for internal meetings/events
- Manage office supplies/ordering and inventory
- Order office supplies for all locations
- Order consumable supplies for all locations
- Assists with preparation for all company-wide meetings
- Assists Administrative Coordinator with inventory and ordering from vendors
- Receives and filters all incoming calls to the CEO
Desired Skills & Experience:
- 1-2 years of experience in a similar role
- Excellent time management skills and ability to multi-task and prioritize work
- Highly-organized and attention to detail
- Excellent interpersonal and communication skills
- Works well in a fast-paced environment, ability to problem solve
Knowledge and Abilities:
- Comfortable and familiar with technical tools and systems
- Proficient with Windows 10 and Microsoft Outlook 365 Email system
- Familiar and exposure to all Microsoft programs (Excel, PowerPoint, Adobe Illustrator)
