Job Qualifications:

The Executive Assistant will be responsible for supporting the Senior Vice President for Programs, their direct reports and supporting teams.  The candidate is expected to have strong written and verbal communication skills as the position includes coordinating with other Aurora business sectors, government personnel, and our customers.

 

Specific Responsibilities:

The Executive Assistant supports in the following duties:

  • Perform administrative tasks including calendar management, writing and editing correspondence, processing visitor requests, and maintaining Outlook contacts information and client relations profiles

  • Manage travel needs to include arranging all logistics, completing expense reports, and reconciling credit card statements

  • Prepare, assemble and modify reports, presentations, briefing materials, and project schedules using MS Word, PowerPoint, Excel, FastTrack, MS Project, and Visio

  • Provide administrative support to the BD team in the preparation of proposals

  • Assist with business development events and other company outreach and customer-focused initiative

  • Extract reports from the company’s Enterprise Resource Planning (ERP) tool, which is SAP By Design

  • Coordinate meetings and other special events

 

 

Minimum Requirements:

  • Minimum of (5+) years of office administration, experience supporting executives in Aero/Defense industry is preferred

  • Must have excellent organizational and interpersonal skills, with a positive attitude towards work

  • Must project the professionalism of the office when dealing with internal and external customers 

  • Must have the ability to prioritize and multi-task in an organized fashion ensuring timely completion

  • Experience in Microsoft Outlook, Word, Excel, Concur, PowerPoint, Visio, and SharePoint

  • Knowledge of SAP and FastTrack Schedule is a plus

  • Must be able to handle office materials and information with 100% confidentiality

  • Must be able to take initiative and work well under pressure

  • Flexibility to travel to other Aurora sites may be required periodically

  • Must be a US Citizen or Permanent Resident

 

Physical Requirements:

Must be able to lift over 20lbs.

 

Shift Requirements: 

Normal business hours; some overtime may be required.
