The Administrative Assistant is responsible for providing executive support of several members of the leadership team. This new role will perform diverse administrative functions requiring confidentiality, initiative, and sound decision-making. This is an ideal role for a detail-oriented quick thinker who relies upon their excellent organizational skills and the ability to effectively handle multiple priorities. Successful candidates will have the ability to work well across all levels of the team. This position will support several people both remote and in corporate HQ (Boston) with varying needs at different times. This is a demanding and highly visible role.

Responsibilities:

  • Provide administrative support for several members of the leadership team.
  • Prioritize and manage demanding schedules based on knowledge of corporate objectives. Manage calendars including booking meetings, arranging logistics, making reservations, and managing priorities.
  • Handle comprehensive or as-requested business travel such as booking flights, cars, and hotels. Generate itineraries as needed.
  • Prepare materials for meetings (e.g. documents, presentations, etc.).
  • Assist with general administration including task management, expense reports, meeting logistics, organizing catering, and other tasks as assigned.
  • Handle ad-hoc requests and tasks with flexibility and strong customer service.
  • Coordinate team meetings, offsites, and projects as needed.
  • Manage engagements with external guests and VIPs, representing the company professionally and providing excellent hospitality.
  • Coordinate with other administrative staff to ensure the success of the overall team.
  • Provide trusted and reliable support. Handle confidential information with professionalism and discretion.
  • Participate in meetings and conferences, both onsite and offsite, as needed.
  • Perform other duties as assigned.

Requirements:

  • 5+ years directly related experience.
  • Strong, professional communication skills.
  • Must be very well-organized, detail-oriented, and able to prioritize and multi-task.
  • Strong customer service presence with a willingness to take on a variety of tasks.
  • Ability and flexibility to handle multiple and changing work priorities, meet deadlines and anticipate future responsibilities.
  • Able to deliver fast results and work with urgency. Willingness to work long hours to support multiple time zones.
  • Able to handle highly confidential, sensitive materials and situations.
  • Strong computer skills and knowledge of relevant software (Google Apps, Office).

Preferred:

  • Previous experience in a fast growing startup preferred.
  • Bachelor’s Degree Preferred.
