Office Manager
THE ROLE: We’re looking for…
The Office Manager is responsible for the day to day facility and administrative operations for Rue La La and our New York and Boston offices. The Office Manager will join the Talent team and be responsible for the upkeep of the building, all supplies, any construction for the Company, and assist in managing the office administration needs of our Executives.
What you’ll accomplish…You will;
- Manage the Boston receptionist and serve as back up to the front desk responsibilities.
- Assist with tasks such as managing schedules, phone and email, making travel arrangements, submitting and tracking internal requests, coordinating meetings and group events, proofreading documents.
- Assist with preparation of presentations, correspondence and memos.
- Successfully manage maintenance and construction projects, assist with organization of corporate events.
- Purchase, track and restock supplies in partnership with receptionist.
- Manage vendor relationships, including negotiating for best pricing and service.
- Build and manage the facilities budget for both Boston and New York offices.
- Build strong relationship with the Office Administrator/Executive Assistants to ensure all support needs are being met.
- Support members of the Leadership team, acting as a liaison, problem solver, and facilitator.
THE RIGHT FIT IF: You have…
- 5 years of office manager experience with a track record of success
- A proactive nature to manage building areas and seek out situations before they become problems
- Prior vendor management and superior negotiation skills
- Strong organizational and analytical skills
- The ability to provide efficient, timely, reliable and courteous service to associates
- Proficient skills with Microsoft Office Suite, Outlook, and internet. Working knowledge of leases, contracts and related documents
- Ability to work nights and weekends on a rare basis with any emergencies.
