Summary: 

We are seeking a highly-motivated individual with strong organizational, communication, and administrative skills to join our team. Specific responsibilities will include interpreting contract clauses, creating and negotiating subcontracts and consulting agreements, updating contracts databases, and ensuring compliance.

The successful candidate will work closely with internal and Government customers, coordinate the submission of various federal forms, and assist in preparing reports and providing updates on contract status.

Major Responsibilities/Activities:  

  • Cradle-to-grave contract administration
  • Negotiate subcontract awards to ensure agreement aligns with the requirements of the prime contract
  • Perform real-time, accurate maintenance of the Charles River Analytics’ contract management system (SalesForce)
  • Perform contract administration functions for all contract types (e.g. CPFF, T&M, and FFP) including uploading and tracking of deliverables and preparing invoices
  • Interact daily with Program Managers, Finance and Proposal teams in executing and administering contracts for multiple complex DoD programs
  • Create necessary subcontracts and consultant agreements that are compliant with Government flow down clauses and internal company policies
  • Follow-up on accounts receivables and review/correct invoice errors
  • Identify contract changes and other issues and bring them to the attention of Manager
  • Participate in program reviews, proposal strategy meetings, post-award kick off meetings and contract set-up meetings
  • Provide any additional administrative support to the Director of Contracts

Minimum Requirements:  

  • U.S. Citizenship
  • 2-5 years’ experience in a customer service-oriented, deadline-driven, high activity environment
  • Cost principles knowledge
  • Candidate shall be a motivated, resourceful self-starter, with an ability to work independently
  • Proven ability to organize, prioritize, and perform multiple tasks with shifting deadlines and priorities. Candidates must be highly detail-oriented and organized.
  • Demonstrated experience in timely communication and responsiveness to internal and external customer requests
  • Proven verbal and written English communication skills, with perfect spelling and grammar. Advanced editing and proofreading skills. Must create professional and presentable work for interactions with both internal and external customers.
  • Exceptional interpersonal/customer service skills. Diplomacy and tact. Positive “can-do” attitude during times of pressure and stress.
  • Demonstrated business acumen and comfort in dealing with upper management
  • MS Office proficiency, especially Word and Excel, is required

Nice to Have:  

  •  Experience with Research and Development contracts
  • Cost principles knowledge, specifically experience with weighted guidelines
  • SalesForce experience
  • Experience working directly with external customers
