HubSpot is looking for someone who loves discovering new speakers to put on stage to share their content with our community as well as someone who loves project managing all the moving pieces that come along with managing 250+ speakers!

About Our Events Team:

The HubSpot Events team is responsible for all events that HubSpot owns and puts on. A big focus for the events team is planning and hosting INBOUND (www.inbound.com) which is a HubSpot produced industry event that had over 21,000 registrants in 2017.

INBOUND is truly unique as it is an industry event created to unite, educate and delight the inbound community. It is a meeting spot for the community of inbound marketers, inbound sales, and inbound services professionals we aim to inspire. The thing that really fuels INBOUND’s growth (2,800 attendees in 2012 - 21K+ attendees in 2017) is the remarkable content and speakers we bring together.

What does it take?

  • Someone with ambition and drive who is motivated to hit and exceed goals, no matter what
  • ​Must be flexible (must be able to flex his/her/their style) –for example, if we change directions on a track or speaker they must be able and willing to react and correct course
  • Must bring a sense of urgency with a cool head, particularly as there will be a lot of opinions and voices contributing
  • Able to form positive working relationships within the team, and with other teams in the organization. ​
  • Someone who cares about content, what’s current, latest trends and formats.

Responsibilities:

Content & Agenda

  • Work closely with INBOUND vendor team, the INBOUND Brand & Content team, and HubSpot’s influencer relations teams to build out the agenda for INBOUND (in 2017 this included 250 break out sessions)
  • Work closely with HubSpot’s Content and Influencer Relations teams to secure key speakers for the INBOUND 2018 agenda
  • Manage the call-for-speakers process, from application to selection
  • Work with internal HubSpot leads to balance the goals of INBOUND being an industry event with HubSpot’s own content focus, for example putting HubSpot integration/technology partners on stage to support product release announcements.
  • Partner with the events promotion project manager to leverage speaker announcement and content for promotion of INBOUND and ticket sales.
  • Own the plan and execution to capture content

Project Management:

  • A professional who is capable of forward thinking and multi-tasking to create a plan that, when executed, will hit goals that lie far in advance.
  • Work with various internal HubSpot teams to make sure all things around speakers are coordinated, eg.
    • Legal: Speaker agreements are created and signed
    • Creative: Coordinate creative assets such as Power Point Templates
  • Work with vendors and speakers to coordinate speaker logistics, eg;
    • Speaker book buys and signing schedule
    • Speaker travel and hotel accommodation
  • Work with vendor teams to manage the logistics of break out rooms - stage set up, AV, labor, room set up, presentation management, etc
  • Work with technology vendor Lanyon to manage the call-for-speakers, agenda builder and session sign up process within the mobile app.


The ideal candidate will:

  • Have strong knowledge of Excel and the ability to learn technical systems and in-house tools quickly
  • Possess strong project management skills: experience coordinating cross-functional teams, delivering results and meeting tight deadlines
  • Be a prolific content consumer - is on the pulse of what’s trending
  • Be an analytical mind who thinks process and scale
