People Operations Coordinator

| Greater Boston Area

As our People Operations Coordinator, you will be a key part of our modern People Team as we support Indigo’s growth and scaling. You will be responsible for the efficient operations of our People Ops team, bringing superb customer service and a keen attention-to-detail to this role. You will also help with ad hoc People-focused projects.

Your responsibilities:

  • Own all employee changes in ADP & benefits systems
    • Manage and own employee information in ADP & Benefit systems (Pay changes, benefit, reporting changes), including ensuring timely updates and regular audits for data cleanliness
    • Implement a more efficient ways to load data into ADP in first 1-2 months
    • Performs benefit audits once a quarter
    • Handle BCBS enrollment confirmation for new hires
    • Manage the entering of employee stock options into E*Trade
  • Manage administrative tasks
    • Ensure all PTO rollover is handled accurately at year end
    • Handle the operations of all leave of absences (sends/collects documentation, ensures payroll and ADP are updated)
    • Own org charts – update and publish at least once a month
    • Own Fitness Center Waivers for Boston office
    • Order business cards for Boston office
  • Partner with payroll team to make sure new hires and pay changes are entered and processed without errors
  • Mentoring and managing our onsite data-entry temp, including both the temp’s workload and work product
  • Within first 6 months, ensure all employee files are complete and compliant with relevant federal and local laws, and maintain files correctly going forward
  • Field day-to-day People Ops questions (address changes, insurance questions, etc.)
  • 401k administration
    • Help new and current employees with rollovers
    • Set up regular on-site 1:1s between employees and 401k advisors
  • Employment verifications
    • Handle all employment verifications for US
    • Within the first 6 months, look into verification services to help automate process
  • Provide ad hoc support for office and/or cultural initiatives/tasks/projects
  • Understand and embody our mission & core values

Key qualifications:

  • Undergraduate degree
  • People Operations experience is a must; genuinely passionate about People Ops
  • Work experience in detail-oriented operational role
  • Prior payroll/benefit support nice to have
  • Workday experience nice to have
  • Comfort with systems that support both People/HR and Finance teams (e.g., ADP, Workday)
