Reporting to the Manager of People Operations, the Payroll Specialist, will be a critical member of the People Operations team.  As the Payroll and HRIS Specialist, you will have the responsibility for processing a multi-state, semi-monthly payroll for over 200 (and growing) non-exempt / exempt employees. This position requires a good understanding of payroll wage and hour laws, federal, state, and local tax laws as well as familiarity with all types of pre-tax and post-tax benefits such as 401k, FSA, FSA Dependent Care, HSA, Commuter Benefit, contribution management / auditing. It also requires excellent customer service skills fielding inquiries from our over 200 employees in 20+ states.  

Responsibilities

  • Process semi-monthly payroll using Paylocity
  • Partner with Finance to ensure timely and accurate payroll processing
  • Ensure timely and accurate processing of payroll transactions including salaries, bonuses, benefits, garnishments, taxes, and other deductions
  • Paylocity System User: Ensures payroll data is current and accurate. Resolves corrections, errors, or adjustments to wages, employee benefits, and other issues which occur during the payroll process 
  • Payroll and Billing Reconciliation: Monthly reconciliation for HSA / FSA (Medical and Dependent Care), Commuter Benefits, 401k, and other similar employee benefit accounts between Paylocity and our providers Cigna, Navia, Guideline, EyeMed, Principal. 
  • Employee Expense Policy Management: Manage employee expenses as per our expense policy using Paylocity & maintenance of the system 
  • Handle timecard process for contractors
  • Generate payroll reporting, as well as federal reporting compliance such as EEOC, ACA, and other state specific reporting.
  • Respond to payroll related questions and employment verifications
  • Ability to build and maintain strong working relationships with all departments
  • Analyze payroll data, identifies trends and recommends solutions consistent with wage and labor laws
  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices
  • Process accurate and timely year end reporting
  • Facilitates audits by providing records and documentation to auditors
  • Identifies and recommends updates to payroll software, systems, and procedures
  • Partner with Finance to ensure timely and accurate payroll processing
  • Performs other duties as assigned

Requirements

  • Minimum of 5 years of payroll processing experience
  • 1+ years Payroll Processing experience in Paylocity, particularly processing salaried payroll and reporting
  • Multi-State Payroll and Tax compliance knowledge is required 
  • G Suite & Microsoft Office familiarity including advanced Excel or Google Sheets proficiency 
  • High level of discretion to maintain confidentiality
  • Well organized, strong attention to detail and intolerance for errors
  • Accurate data entry skills
  • Strong verbal and written communication skills
  • Friendly and professional demeanor
  • College degree or Payroll certification preferred
