To thrive as a Human Resources and Facilities Coordinator, you’ll need to love variety, work independently, communicate well and be super organized. We are looking for a motivated individual who is detailed oriented and a multi-tasking guru who ideally has spent time in Human Resources or Talent Acquisition. Prior office and or facilities experience would be helpful! A proven ability to work under pressure and prioritize, and remain delightful to interact with is a must. This position will require you to interact with all levels of employees across the United States, and reports to the Human Resources Business Partner for the US.

Position Summary:

Provide support in functional areas of Human Resources including entry of data for new hires into the company and benefit systems, development and execution of company policies and procedures, benefit administration, payroll, federally required reporting, employee activities and other basic administrative functions, in addition to ensuring facilities are maintained through existing services.

Job Responsibilities:

  • Administer various human resource plans and procedures; assist in the development and implementation of policies and procedures; prepare and maintain internal documents such as the employee handbook.
  • Assist with benefit administration to include claims resolution, change reporting, and reconciling and approving invoices for payment.
  • Responsible for federal and state required filings to include the annual EEO-1 report, Vets100 report and OSHA log and reporting.
  • Maintain employee paper and electronic human resources files and related documentation as well as the HRIS database.
  • Prepare payroll changes and work with Finance on state payroll related tax issues and act as back-up for payroll processing.
  • Recruitment assistance will consist of managing position postings; conducting background checks; initial screening of resumes, scheduling interviews, reference checks.
  • Office and Facilities Management to include ordering and maintaining office/kitchen supplies; acting as primary contact for building management; and organizing office functions.
  • Perform other related duties as required and assigned.

Business/Technical Competencies:

  • Excellent communication and people skills.
  • Strong organizational skills with attention to detail.
  • MS Office, with strong Excel skills
  • HRIS system experience a plus. (Experience with UltiPro an additional plus).
  • Ability to perform under pressure and meet tight deadlines.
  • Proactive, self-starter, able to work independently or as part of a team in a fast-paced environment.

Work Experience and Education:

Bachelor’s degree, and a minimum of 2 years work experience in an office environment. Human Resources and Talent acquisition experience is a plus.
