Overview

The Payroll Manager will primarily be responsible for the daily management of North America payroll programs and administration, ensuring that processes are executed appropriately and in a timely manner. The Manager will oversee and manage operations necessary to ensure payroll data integrity and operational efficiency, as well as be responsible for developing and implementing appropriate payroll policies and procedures ensuring that all such policies comply with company policies and with local, state and federal regulations.

Responsibilities

As Payroll Manager, you will be responsible for:

 

  • Oversee semi-monthly payroll completed by US payroll specialist to ensure compliance with applicable regulations
  • Oversee and ensure smooth quarter-and year-end payroll process
  • Maintain data integrity of payroll applications (ADP PayForce, ADP Connection, ADP Portal) on a daily basis
  • Maintain a process to ensure the integrity and accuracy of payroll data by conducting reconciliations and detailed audits to ensure accurate processing
  • Ensure payroll process operates within Company defined SOX 404 requirements 
  • Ensure timely maintenance of payroll records
  • Research and propose system enhancements and payroll process improvements
  • Develop and maintain application-related process documentation
  • Manage or assist with special projects, e.g. system enhancements, and payroll upgrades
  • Assist other departments to complete audits, 401(k) testing, etc.
  • Work cross-functionally with business partners – regional HR, Benefits, Compensation, and Accounting 
  • Assist with entry of payroll transactions (i.e.; timesheets, vacation requests, direct deposits, tax changes etc.) into the payroll system as necessary
  • Assist with the expatriate payroll and related problem solving issues as they arise
  • Responsible for ad hoc payroll reporting including proficiency in creating reports.
  • Serve as a liaison between third party vendors and the Finance and Human Resources departments.
  • Facilitate annual W-2 production
  • Review and oversee Employee expense reimbursements being processed through ADP

 

SUPERVISORY RESPONSIBILITIES:

  • Supervise US Payroll Specialist and scope departmental needs as we expand 
  • Interact with and provide leadership where necessary to international payroll processing in compliance with applicable local country regulations
  • Proactively identify and resolve personnel issues in conjunction with Human Resources



ESSENTIAL SKILLS:

  • Ability to handle extremely confidential information in an expeditious and discretionary manner
  • Solid problem solving and project management skills
  • Excellent written and verbal communication skills
  • Excellent customer service skills
  • Extensive knowledge of payroll processes, tax compliance and HR compliance
  • Extensive knowledge of unemployment laws and tax reciprocity rules and regulations
  • Ability to interface and effectively communicate with all levels of management
  • Solid understanding of general ledger entries as they relate to payroll
  • Excellent computer skills, including Microsoft Office, HRIS systems and payroll system (preferably ADP)
  • Self-motivated; able to work independently to complete tasks and respond to department requests and to collaborate with others to utilize their resources and knowledge to identify quality solutions.
  • Strong organization, planning and project management skills; ability to prioritize tasks for self and team to meet requirements and deadlines.
  • Strong leadership skills; ability to drive and motivate team to achieve results.
  • Ability to work in a time-sensitive and high volume environment
  • Ability to identify key contacts for follow up; excellent ability to communicate project and status updates to team and cross-functionally to ensure understanding.
  • Good strategic and problem solving skills to effectively influence decision making in key negotiations.

Qualifications

  • Minimum three years’ experience leading and managing payroll department
  • Bachelor’s degree or equivalent work experience required
  • Minimum of five years of Payroll/HRIS/Accounting experience required
  • Certified Payroll Professional (CPP) certification preferred
  • Solid understanding of HR cycles
  • Experience with ADP Payroll Software 
  • Experience in accounting, payroll budget development and management
  • Experience in multi-state reporting required
  • Understanding of expatriate taxation rules and international payroll tax guidelines strongly preferred
