Job Description
We are seeking an experienced Executive Coordinator to join our Global Talent Management team. In this role, you will provide comprehensive administrative support and collaborate closely with Talent leadership teams. Your exceptional organizational skills, attention to detail, and ability to thrive in a fast-paced environment will be critical to your success.
How you will contribute:
- Manage the calendar, appointments, and meetings for Chief Talent Officer and Global Head of Talent Acquisition, ensuring efficient scheduling and coordination.
- Serve as the primary liaison for the Global Talent Management Leadership Team, communicating effectively with senior leadership and facilitating seamless collaboration.
- Exercise autonomous decision-making based on executive direction and extensive administrative experience, ensuring timely and effective resolution of issues.
- Develop a strong network within Takeda's administrative team to address inquiries, troubleshoot problems, and foster cross-functional collaboration.
- Facilitate external meetings and engagements to elevate the Takeda brand, including coordination with key stakeholders, preparation of materials, and post-engagement follow-up to ensure alignment and messaging consistency.
- Manage confidential documents and correspondence with discretion, maintaining the highest standards of confidentiality and professionalism.
- Identify and schedule priority meetings, accommodating last-minute needs and ensuring optimal use of time and resources.
- Review and prepare complex expense reports and purchase orders, ensuring accuracy, compliance, and timely processing.
- Arrange travel and complete expense reports promptly, maintaining awareness of logistics and minimizing disruptions.
- Utilize Microsoft Office tools for data tracking, analysis, and reporting, ensuring accurate and timely reporting of key metrics.
- Maintain confidentiality in all aspects of work and perform additional duties as required, demonstrating professionalism and integrity at all times.
- Partner with team members to help project manage specific initiatives, contributing to the successful execution of strategic projects, initiatives and maintain team engagement.
Expected Skills:
- High school diploma or equivalent required; bachelor's degree preferred.
- Proven experience as an executive coordinator or similar role, preferably in a corporate environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Exceptional communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization.
- High level of discretion and confidentiality, with a commitment to upholding ethical standards.
- Proactive and resourceful, with a strong attention to detail and problem-solving abilities.
- Ability to work independently and collaboratively within a team environment, demonstrating flexibility and adaptability.
- Previous experience in project management or event coordination is a plus.
This is a hybrid position, which will require working onsite in Lexington, MA and/or Cambridge, MA a minimum of 5 days each month.

U.S. Hourly Wage Range:
$32.64 - $51.30
The estimated hourly wage range reflects an anticipated range for this position. The actual hourly wage offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. The actual hourly wage offered will be in accordance with state or local minimum wage requirements for the job location.
U.S. based employees may be eligible for short-term incentives. U.S. based employees may be eligible to participate in medical, dental, vision insurance, a 401(k) plan and company match, short-term and long-term disability coverage, basic life insurance, a tuition reimbursement program, paid volunteer time off, company holidays, and well-being benefits, among others. U.S. based employees are also eligible to receive, per calendar year, up to 80 hours of sick time, and new hires are eligible to accrue up to 120 hours of paid vacation.
