We’re looking for an ambitious and driven Project Manager that can help us grow the INBOUND event by managing the core operations projects and team that makes the event run.

INBOUND is truly unique as it is an industry event created to unite, educate and delight the inbound community. It is a meeting spot for the community of inbound marketers, inbound sales, and inbound services professionals we aim to inspire. The thing that really fuels INBOUND’s growth (2,800 attendees in 2012 - 21K+ attendees in 2017) is the remarkable energy brought out of our audience and attendees when they experience the remarkable festival like environment that our team creates in Boston for the event along with the amazing content and speakers we host at the event.

RESPONSIBILITIES

Budget Management, Planning & Forecasting:

  • Directly managing a sizeable chunk of the overall event budget as it relates to all physical structures, AV, production, vendors, logistics, etc…
  • Taking a top line budget number and carving out the appropriate buckets across various projects and vendors, prioritizing the spend, finding efficiencies, etc… in order to bring the core logistics of the event in on time and on budget
  • Make recommendations on where we can consolidate or make significant savings based on process or execution
  • Proactively come to the table with budget recommendations for future years that supports the overall event and brand strategy and vision

Project Management:

The Director of INBOUND operations will manage the team who plan, core projects for the INBOUND event. In short these are the projects that allow the event to happen and set the foundation for everything else. These are what we call ‘mission critical’ projects.

These core projects include:

  • Space assignment - we have ambitious plans for the growth of INBOUND which requires multi year planning to identify and secure enough space for us to grow, this include non-traditional space such as museums, warehouses, outdoor, etc..
  • Club INBOUND design and build out. This is the hub of the event space and the meeting place for all 21,000+ attendees housing sponsors, HubSpot HQ, catering, VIP lounge, etc… This is a creative space, in 2017 it featured a wafer fall, an art gallery and a giant hanging balloon structure to name a few - check out our instagram for some of the pics @theinboundstudio
  • Main Stage - operations, design and layout of the biggest stage at INBOUND
  • Security - in the past this has included working with the secret service for Mrs. Obama’s visit.
  • IT (including wifi at both the BCEC and the Westin)
  • Food and Beverage
  • Transportation & Housing
  • Grow With HubSpot Meeting Center and HubSpot HQ

Project management experience required:

  • Someone who can manage a large number of stakeholders both internal (HubSpotters) and external (vendors) to surface the right ideas at the right time while aggressively working to timelines and budgets.
  • A professional who is capable of forward thinking and multi-tasking to create a plan that, when executed, will hit goals that may be far away.
  • Someone who has considerable project management experience - use of a project management software is a plus (eg Wrike, SmartSheets, etc..)
  • Someone who gets excited by creating a remarkable, never been done/seen before experience
  • Someone who is comfortable working with creative teams to harness the best creative designs, campaigns and activations but is comfortable not being the source of all of the creative ideas. In short you’ll be excited to bring other people’s ideas to life.

What the person does not need to have:

The person in this role does not need to have direct event management experience.

People Management:

The person in this role will manage the INBOUND Operations team of 3 people. The person in this role will need to have a proven track record of:

  • Hiring a team successfully
  • Supporting their direct reports career goals and engaging in growth conversations
  • Managing performance issues - coaching and accountability
  • Planning future headcount needs by proactively identifying skills gaps on the team in line with future growth plans of the project

Vendor Management:

Manage vendors on the projects where appropriate, including negotiating their annual (sometimes multi year) scope of work agreements.

The vendor team is approx 40 people who we work with on a daily basis so the person in this role will need to be able to harness the best out of large teams who are external to HubSpot to get the best collaboration and work from them while getting value for money for HubSpot and the event.

What does it take/the requirements?

  • An accomplished project management professional with some digital or technical understanding.
  • Someone with ambition and drive who is motivated to hit and exceed goals, no matter what
  • Must be flexible (must be able to flex his or her style) –for example, if we are off-target, there are areas in need of improvement or we change direction in line with the goals of the project this person must be able and willing to react and correct course.
  • Must bring a sense of urgency with a cool head
  • Able to form positive working relationships within the team, and with other teams in the organization. ​
  • Someone who doesn’t take things personally when changes occur.
  • Must be comfortable with bringing other people’s ideas and vision to life without having to be the source of that creativity.
