Summary

This position is responsible for the management of all productions, including Production Manager assignments, organization and execution of productions and projects from scheduling through invoicing and overall profitability as a department. It requires some unconventional hours and travel on occasion. This is an exempt position and reports to the Vice President of Production.

Essential Duties & Responsibilities:

Departmental Project Management and Production Assignments

  • Access Client needs and assign appropriate Production Manager to organize and execute production and communicate with client.
  • Oversee progress and cost effectiveness of all productions and projects within the department, and provide guidance and support in order to meet goals and revenue objectives.

Collaboration with Sales, Operations, and Creative Departments

  • Attend meetings with Account Executive, Creative Directors and clients to help determine production requirements.
  • Assist in budgeting process.
  • Coordinate with appropriate VL managers to schedule employee crewmembers, studio and editing facilities, transmission and satellite trucks.
  • Keep Account Executives and crew members informed of any applicable changes, problems or budgetary concerns during the course of the project.
  • Keep all necessary people informed of job details.
  • Participate in Project Review Meetings with Production Group.
  • Hiring, Scheduling and Payment of Vendors.
  • Secure necessary equipment for productions and assure that they fit within budget constraints.
  • Schedule staff and freelance crew to work on productions.
  • Ensure that all new vendors complete necessary paperwork for Accounting.
  • Negotiate rates with vendors and freelance crewmembers if necessary.
  • Coordinate webcasting needs with our webcast provider(s).
  • Ensure vendor invoices are collected and approved in a timely manner. Client Interaction
  • Brainstorm ideas and provide solutions to enhance production value.
  • Gather production details and requirements from clients.
  • Serve as client’s main contact during pre-production stages, advising the Account Executive when a budget revision may be required.
  • Be present during productions to serve as client’s point person and ensure budget guidelines are met.
  • Execute final billing to client with assistance from Account Executive.
  • Coordinate all pre- and post-pro meetings with client.
  • Make sure all discrepancies are communicated and resolved to the clients’ satisfaction and in a timely manner.
  • Maintain client files with production details for future reference.

Production Support Management

  • Responsible for the scheduling and management of all production support personnel direct reports, including, but not limited to, the Director of Photography and Audio Engineer.
  • Quality control of all production studio facilities and equipment, Remote and ENG production equipment, and production support services.
  • Develop and design technical solutions for all client productions

General Duties

    • Schedule and conduct weekly Production Department meetings to access project progress and to identify issues, provide guidance, and insure overall profitability of productions and projects.
    • Provide a weekly updated spreadsheet of department assignments and progress to the VP of Production and give a forecast of future projects and potential revenue.
    • Assure that all production components remain within allotted budget and on schedule.
    • Create and receive purchase orders for Accounting.
    • Enter all elements into scheduling system and post jobs for billing.
    • Quality control of all streaming files and edited projects.
    • Create appropriate schedules and timelines for projects.
    • Maintain crew travel information, and coordinate travel information with VL administration.
    • Learn and utilize any specialized technical skills during productions as needed.
    • Execute Producer and other production position duties as needed.
    • Works within all verticals of VideoLink including both Broadcast and Creative projects.
    • Be part of on-site problem solving team and positive conflict resolution.


Job Qualifications:

  • At least 8-10 years of experience in the area of production, broadcast, events or other similar field. 
  • Strong video production and video engineering skills and experience.
  • Track record of being organized, detail-oriented, flexible, and working well in a team atmosphere as well as having the capability to work well individually, is essential.
  • Strong work ethic, self-direction, self-motivation, patience, persistence and the ability to get along with coworkers and customers.
  • Mature judgment to make sound decisions based on objective evidence, customer and VideoLink needs, and cost considerations,
  • Excellent oral and written communication skills, including necessary paper and/or computer documentation.
  • Self-motivated, organized and resourceful with strong work ethic.
  • Responsible.
  • Able to work independently.
  • Attention to detail.
  • Work performance and cooperation that serves as a role model for all. Ability to maintain a positive attitude, even under stress.
  • Superb customer service skills.

Other Requirements:

  • Valid driver’s license and safe driving record.
  • Travel is required based on time and location of remote productions as well as meeting’s at VideoLink Bureaus and headquarters.
