Associate Events Planner

Job Overview:
This position is responsible for coordinating, executing, and monitoring all aspects of event planning and logistics.
Key Responsibilities:
- Determine the logistical requirements of corporate meetings and events hosted in various locations, both internal and customer-facing events including tradeshows and conferences.
- Responsible for planning meetings with tasks that include but are not limited to: development of project timelines, site selection, ground transportation, food and beverage, scheduling guest speakers, booking hotel rooms, activities and gift selection, decor, technology support, and on-site management.
- Collaborate with event stakeholders to ensure alignment of goals and objectives of event.
- Define venue requirements
- Create necessary correspondence to attendees on program details
- Determine staff requirements and plan the operation of entire meeting on-site
- Process purchase orders and check requests for deposits and payments of suppliers associated with an event
- Reconcile invoices and issues associated with vendors
- Coordinate customer invitations, advanced and on-site registration, and post-event follow up reporting and evaluations
- Assist in the preparation of budgets and forecasts
- Will be located in one of the following CA offices: Burlington, MA; Boulder, CO; Plano, TX; Santa Clara, CA.
Skills & Competencies:
- Typically 0- 2 years of direct or related industry and/or internship experience
- Detailed and results oriented
- Good Negotiator and Project Manager

- Works quickly and efficiently on several projects at one time
- Ability to travel approximately 25% annually for this position
- Bachelor's degree or global equivalent in a related field preferred
