EdX is hiring an Executive Administrative Assistant to support our CEO and President/COO. A strong candidate is a highly-organized, detail-oriented, self-starter with a strong track record of demonstrating exceptional sound judgment, and autonomously knowing what needs to be done. The keys to this role will be pragmatic thinking and passion for executing efficiently in a fast-moving environment filled with multiple competing priorities.

Detailed Responsibilities:

  • Perform a broad range of administrative details of a confidential nature, on a regular basis, requiring a high level of discretion; often handles sensitive and confidential information.

  • Manage all aspects of CEO and COO’s calendars.

  • Performs end-to-end meeting management involving both basic and complex scheduling and “schedule negotiating” (e.g., across different time zones, for high-level leaders in organizations), proactive calendar / schedule maintenance, various video and telephone conferencing technologies (e.g., involving Skype, Google Hangouts, or international dial-ins), agenda communication (involving a basic understanding of the meeting / event objective and necessary follow-ups), room and technology setup, location logistics management, catering, and sometimes note-taking (as needed)

  • Coordinates all aspects of travel arrangements for both domestic and international business travel including but not limited to booking flights, hotel and local transportation, providing agendas and itineraries, and arranging passport / visa requirements when necessary.

  • Manage expense reporting for supported staff by preparing and submitting expense reports, often including complex international travel related transactions.

  • Learns and quickly becomes well-versed on current relevant MIT and edX policies (e.g., around travel, expense submission, technology procurement and management, etc.).

  • Conducts and coordinates administrative tasks with other edX functions and administrative assistants as a team.

  • As part of a shared services work model, receives external guests at edX offices and fields phone calls regularly.

  • Availability outside of office hours for support or facilitation of communication with international affiliates.

Essential Functions:

  • 40% calendar management

  • 20% travel arrangements

  • 20% meeting management (e.g. internal offsites, company “all-hands” and BOS meetings)

  • 10% conferences and speaking engagements - coordination, speaking role is the right role for Anant, negotiation with vendors,

  • 10% board management and communications

Qualifications and Skills:

  • 5-7+ years of experience as an Executive Assistant to a VP or C level executive; in such roles, has had progressively responsible administrative experience
  • Superior verbal, interpersonal, and communications skill
  • Strong organizational skills to manage multiple competing priorities and projects, while maintaining attention to detail
  • Exceptional ability to interact effectively with multiple external & internal stakeholders
  • Performs well on a variety of tasks while remaining effective in a high-volume, fast-paced, start-up environment; able to juggle a large workload
  • Must be proficient in: Google Apps for Business, Microsoft Office Suite and online wikis (Confluence)
