Business Assistant to the CEO

Please come help us continue doing a super job. Our CEO/Co-Founder needs a Business Assistant who focuses 71.37% on supporting her, and 29.63% on supporting the other execs. Approximately. If you are ambitious and interested in a standout business, we might be for you.
What does the job entail? Here are some real situations:
- Every month the CEO collates a ‘stoplight dashboard’ showing the red/yellow/green status of various initiatives. You’d take over that collation - and, invent a more efficient mechanism.
- The CEO got called for jury duty, for a case expected to take two days. Fortunately, she was passed over. If she hadn’t been, you’d have rescheduled her 17 meetings in those two days.
- The CEO and the CMO are eyeing a West Coast conference. Is the agenda worth it? Can we tie in some press meetings? Client meetings? Other networking? Working with others in the company (e.g., Marketing Communications, National Sales) you’d help answer all those questions. If enough answers are ‘yes’, you’d set up the meetings and travel arrangements.
- Speaking of networking: there are many people with whom the CEO has reason to visit or talk. You’d help keep track of them, ping them occasionally to see if they’re coming to Boston, and mention them when the CEO is traveling to their city. Then you’d line up those meetings if possible - before buying the plane tix.
- The CEO just had a speaking engagement (one of many). For each speaking engagement, you’d figure out what preparation is needed, help ensure the preparation happens, and line up the logistics, too.
Please:
- Have meaningful experience supporting executives and/or clients
- Have business acumen and interest
- Have exceptional EQ; be able to be simultaneously discreet, direct, and transparent
- Prefer to tackle work by creating systems - or by removing the need for the work in the first place
- Believe that everything can be done better - including the thing you just improved
- Be warm and funny - and cool under pressure
- Have a passion for detail, speed, and accuracy
- Be a whiz at communication, and at the tools for that (email, phone, Excel, Word, PowerPoint, Twitter…)
- Have polish, poise, and professionalism – even in casual wear
